Data Deletion Instructions
This page explains how a user, customer or data subject may request access to, correction of or deletion of personal information that may be held by MMSwitchboard, subject to applicable legal, contractual and operational requirements.
1. Requesting deletion of your data
If you would like to request deletion of personal information associated with your use of MMSwitchboard, you may send a written request to our team using the contact details below.
2. Information to include in your request
To help us identify and process your request, please include:
- your full name
- your company or organisation name, if applicable
- your email address and phone number used in connection with the service
- a clear description of the information you want deleted
- any relevant account, message, conversation or service details that may help us locate the data
3. Verification process
For security and privacy reasons, we may need to verify your identity and/or authority before processing a deletion request. We may request additional information where reasonably necessary to confirm that the request is valid.
4. When deletion may be limited
In some cases, we may not be able to delete certain information immediately or completely. This may happen where retention is required:
- to comply with legal or regulatory obligations
- to maintain security, fraud prevention or audit records
- to resolve disputes or enforce agreements
- to complete legitimate operational, billing or support processes
- because the information is controlled by a third-party platform or service provider under their own policies
5. Third-party platforms
Where data has been processed through third-party services, channels, integrations or communication providers, deletion may also be subject to that provider’s systems, retention periods, policies and technical limitations. MMSwitchboard may assist where reasonably possible, but some requests may also need to be made directly to the relevant third party.
6. Response time
We aim to review and respond to valid deletion requests within a reasonable time. The exact timing may depend on the nature of the request, the complexity of the data involved, the need for verification and any legal or operational limitations.
7. Alternative privacy requests
Instead of deletion, you may also request:
- access to personal information we may hold about you
- correction of inaccurate or incomplete information
- objection to certain processing where lawful grounds exist
- withdrawal of consent where processing is based on consent
